Description of Problem:

  1. The engineers go out to do repair and maintenance of equipment and vehicles and need to generate report of the status of the repair and maintenance.
  2. The information needs to be entered into SAP system to update about the inventory of the machine-parts, and the types of services delivered.
  3. A bill will be generated based on the information of the servicing report, to be sent to the end-customer.

Description of Problem:

  • The client receives lots of orders from hundreds of customers daily
  • They originally have a department to process orders manually (around 5 persons)
  • Information about end-customers’ orders need to entered into their ERP (Enterprise Resource Planning) system to create Sales Orders
  • Orders come in different ways:
    1. Emails of Purchase Orders from large end-customers (Format of PO from the same end-customer is the same every time)
    2. Email of Order Forms from smaller end-customers (standardized Excel file provided by Client)
  • Phone calls, WhatsApp/ SMS messages, free-flow email text orders

  • Gleematic was trained to recognize and extract data from various formats of Purchase Orders (type-written text, either native PDF files or scans) using A.I. Intelligent Document Extraction.
  • Gleematic could also read data from standardized Excel Order Form
  • Gleematic could automate opening of emails, downloading of attachments, extracting of data, checking/ validation, and finally enter data into ERP system. 

Challenges:

  • Converting scans of Purchase Orders into digital data using OCR (Optical Character Recognition) may not get 100% accuracy, as there might be “noise” (such as hand-written marking/ circling), and “dirt” (extra dot from printing)
  • To improve accuracy rate of data extraction from scanned documents, larger volumes of data per template (e.g. 100 to 200 pieces) can be fed to Gleematic for re-training.
  • Item Descriptions in order forms or Purchase Orders (PO) may differ from the standard terms available in the ERP. To overcome this, text-classification can be used to make intelligent guesses, if there are different ways to describe the same item. For example, end-customer might write “bleach” or “bleaching liquid” in PO but there is only “Sodium hypochlorite” in ERP system. It can be rather time-consuming to do data-cleaning and training of A.I. at the beginning.
